Deposits and Payments
A deposit equal to 30% of services reserved is due at the time of booking, with the balance due 45 days prior to your first day of travel. If your total reservation price is less than $250 or you are booking within 60 days of travel we will ask you to pay in full at time of booking. Your final payment will be automatically billed to your credit card on file unless you instruct us otherwise. The package price listed on your confirmation is the total cost for all services listed, not a per person price. We accept checks, Mastercard, Visa, and Discover Cards. Changes and Cancellations
We understand that travelers monitoring the evolving coronavirus situation are concerned about how their Alaska trips may be impacted. To help alleviate some of those concerns, we've adjusted our cancellation policy.
All reservations with Alaska Tour & Travel are now fully refundable up until 31 days prior to travel. In addition, we have over 300 services, including the Alaska Railroad and our Park Connection Motorcoach, that are now fully refundable up until 72 hours or less prior to service. This will give us even more flexibility for refunding guests who need to cancel within 30 days of travel.
If you choose not to travel this summer, you also have the option of rolling over your deposit to a 2021 Alaska trip. If you do so, we will honor our 2020 rates or we will extend a 5% discount on your booked trip, whichever saves you more.
Travel Insurance and Cancellation Waivers
If you choose not to purchase travel insurance either through our company or on your own, you may wish to participate in our optional medical cancellation waiver (MCW) program. This is not travel insurance, but does allow you to receive a full refund, less the MCW fee, in the event that you must cancel your trip due to a medical emergency or death within your traveling party, or a death within your immediate family. Cancellation notice must be received at least 24 hours prior to the service date. The MCW is not available for escorted vacation packages, Alaska cruises, or certain wilderness lodges as indicated in your travel documents. The cost of the MCW program is 3% of covered services, and can be declined anytime up to 45 days prior to travel.
Rates are subject to change without notice and are not guaranteed until a 30% deposit has been received by our office.
Government tax rates are subject to change and will be based on the tax rate in effect on your date of travel.
Please notify us in writing if you are confined to a wheelchair or are traveling with a motorized, non-collapsible wheelchair. Most ground and tour transportation options in Alaska, other than the Alaska Railroad, are not equipped with wheelchair lifts. We will make sure all suppliers are notified in advance, and suggest alternate arrangements where possible.
Photo ID Requirements
Make sure all members of your party bring government issued photo ID with them. If you are cruising to Alaska, or any part of your trip takes you to Canada, you will need your passport. International visitors should consult their appropriate authority to determine documentation requirements.
Any requests you make for a specific hotel room type or amenity (for example view, bedding, roll away) will be forwarded to the hotel. These are requests only, and we cannot guarantee room features other than as described in your itinerary below. Payment for incidentals, room upgrades, or extra services will be your responsibility.
Limitation of Liability
We do business as Alaska Tour & Travel, which is a trade name for our parent organization Windsong Alaska Properties, LLC (the Company). The Company arranges lodging, activity, and transportation services for its customers. These services are provided by independent suppliers not owned, operated, or controlled by the Company. The Company is not liable for damages related to injuries, property loss, excess or hardship caused by or related to the services arranged by the Company; nor is the Company liable for failure to provide agreed upon services due to acts of God, governmental agencies, terrorism or other events beyond the control of this Company. In any case, the Company is not liable for the failure to provide service beyond the amount of the payment made to the Company for that service for the affected party. Travel insurance is recommended to mitigate the effect of unforeseen circumstances.
